Can I upload multiple files at once?

Yes. To upload multiple files click on the "Add a File" link to open an upload form for a new file.

Can I copy or move a file from one project to another? What is the import feature in Files used for?

Yes.

The "Import a file" command allows you to import files by copying them from one project to the project from which you make the import request.

If you wish to move files, do not forget to delete the original source from the project where it is located to avoid having double copies use up your storage quota.

Can I upload multiple files in a project? Why do we still need the standard file uploader?

Yes.

If your browser supports the Adobe Flash plugin, you can use the multiple file uploader.


With the standard upoloader, to add multiple files you need to click on the ‘Add a new file’ link nd click on the ‘Browse’ button to select a new file to be uploaded.

What is the différence between the ‘standard file uploader’ and the ‘multiple file uploader’ ?

The muliple file uploader is more user friendly it allows you to select multiple files once the File Browser window pops up(this is the window which pops up once you click on the ‘Browse’ button.


The muliple file uploader reuired that your browser supports the Adobe Flash plugin.


We still have the standard file uploader because it uses standard HTML and does not require an additional plug-in.


To select multiple files, when using the multiple file uploader, once the file browser window pops up,

  • Select a single or a first file file by clicking on the file
  • To select additional files,
    • On a Windows PC Press CTRL then clck on the addtional file.
    • On a MAC press the CMD button and click on the addtional file.

Is the size of a file limited?

Yes. The size of a file to be uploaded must not exceed 50 MB.

Can I undo the deletion of a file? Can I get a copy of the deleted file?

NO. Once a file is deleted the action cannot be undone? We no not keep any saved copy of your files.

Are all file formats supported?

Yes, you can upload any file type.
All Word, Excel et Powerpoint files are represented by customized       images.

Type files with gif, png et jpeg extensions are represented by the following icon.

Can I upload different versions for a single file?

The versioning support is very simple. To upload a new version, pass your mouse over the link to a file and click on the "New Version" list.

Please note that you can put any other file type as new version. For example, an uploaded file with a .doc extension can be updated with a new version with a .pdf extension.

When I upload a new version, the remaining version the numbering for the different version is not updated. Why is that?

The file is really deleted. The numbering in not updated to keep an indication of a deleted file.

How should I use links in the Files application?

Links allow you to share links found on the internet or any other links to internal private intranets.

What does «Recent download requests» mean? What is it used for?

This feature keeps you informed of the download attempts made on files shared within the project. Please note that it is not a confirmation of a successful download since a user might have clicked on a shared file then click on ‘cancel’ once the download window pops up. In that particular case the download attemps will be logged by our systems but the file was not properly downloaded.

Can I add comments to a file?

Yes, click on the comment icon when you have your mouse on a file.

Can I put files into folders? Can any user in the project manage folders? Can I have sub-folders?

In the applications settings, Administrators or Managers can decide what type of users can manage (add, edit or delete) folders in Files.

You can use folders as categories. Please note that if you delete a folder it will NOT delete all the files which are in the folder. The files will simply become "files without folder".

Regarding sub-folders, the Files application is designed for project management. It is not designed to be a file Storage service. We believe efficiency is about having quick access to the relevant file, add a folder, or add a new version of a file. Allowing for sub-folders does not serve that goal, especially with each user having different file Storage.


In most cases, if you believe you need subfolders, we believe that it is an indication that your project is handling too many different topics. It would be more efficient to split your porject into multiiple ones.

What does the Linked objects icon mean?

This icon means that the file next to it is linked to a discussion or a task. Click on the icon to access the attached discussion or task. Please note that a single file can be linked to multiple files and tasks.

Can I attach a file to a task or a discussion?

YES. But you cannot attach the file directly from the Files application. Please go to the Tasks or Discussions applications to add file attachments.

Please note that when you attach a file to a task or a discussion, even if you cancel the creation of your item the files will be uploaded in Files. If you want to delete the attached file, you need to go the Files app and delete the file.

How can I cancel the attachment between the file from a Task or a Discussion?

You cannot cancel the attachment directly from the Files application. Use the edit form in the tasks or Discussions application to add or remove a files attachment.

Use the following icon Linked objects to access the task or discussion from which you want to remove the file attachment. Edit the item to cancel the file attachment.

Can I download or export all files of a project with one command?

YES, but only Administrators can export project data from the Administrator section. Please see also the 

Project  application.

Can I send an email to my online project? How do I define the dropbox email address for a project?

GroupCamp Project  allows you to send an email to project. How does it work ? For each project you (the Administrator) can define a dropbox email address for each project. In the Files application of a project you can customize the dropbox email address. Copy (Cc or Bcc) the dropbox address in emails that are related to your project.

The content of the email will be uploaded directly to your online project. In the Files application, the email will be displayed as new ‘email’ type file. The subject of the email is added in the description field for the new file. Please note that you can download the email in plain text format from the Files application.

 

Sending attached files to a project via email

If your email should contain an attached file, we will store the attached file in the application and add the email body as a comment to the file.

Please note that for security reasons the size of the attached file cannot exceed 10MB.

Common use cases

This new feature has long been requested by project members who basically wanted to do 2 things.

  1. Archive a relevant email within a project
  2. Cc a project dropbox email address in Minutes of Meeting that are relevant to a project. The contents are them automatically saved within the project and all project members can benefit from all the online capabilities of GroupCamp : find emails more easily, search for related files, add comments on the email.

 

Settings and Rights management

You can disable the dropbox email address for a project if as an administrator you do not want it to be used within a project. Please note also that a web-based project on GroupCamp will only accept emails from project members. The email cannot come from a user whose email is that of a project member.
